VFX Recruitment & Resource Coordinator
Full-time contract, indefinite
The VFX Recruitment & Resource Coordinator is responsible for coordinating a highly dynamic planning and scheduling function within the VFX studio. The main focus of the role will be sourcing and deployment of resources in conjunction with show production schedules. To maximise productivity and capacity effectiveness, the VFX Recruitment & Resource Coordinator will be working closely with the VFX Producers, VFX Supervisors and Head of Production.
This role will also involve the identification of all changes and issues relevant to resource planning and the associated corrective action management. The VFX Recruitment & Resource Coordinator will inform decisions within the business and give visibility through data analysis of potential risks and opportunities. The VFX Recruitment & Resource Coordinator reports directly to the Head of Production.
Essential Functions
Resource Coordination
- Assess the plan for future resource requirements, based on outputs from production bidding, levels of attrition and skills shortages, ensuring headcount and utilisation levels are in line with the show requirements
- Optimise the utilisation of staff across the studio, prioritising work and partnering with the management teams to drive resource allocation decisions
- Maintain Autodesk Shotgrid and other scheduling tools and generate reports for tracking the department crews, show assignments and vacancies and present in leadership meetings and working sessions
- Attend internal meetings to understand resource implications of potential new work
- Leveraging resources of related departments to address the studios resource and capacity challenges
Recruitment Coordination
- Partners with the Department Heads to identify the hiring requirements
- Maintain a talent pool database by keeping in touch with Stargate’s internal and extended talent pool to leverage their talent to the fullest potential, and be aware of new projects, availability, changes in circumstances, fee changes, etc. Keep a repository of talent that can be shared, accessed, and used when needed – longlists, shortlists, talent pools, etc
- Oversee and run Recruitment drives and devise best practices in this area
Competencies
- Strong working knowledge of Excel
- Knowledge of Autodesk ShotGrid preferred
- Experience of resource and/or production management

- Although ideal, previous experience working in the VFX industry is not a requirement
Position Type/Expected Hours of Work
This is a full-time position based on a 40-hour per week average.
